Synapse Project Success Plan
As the saying goes; In the absence of a plan you are planning to fail. We know that the lack of a plan is the biggest frustrations people have when dealing with contractors. Our simple and clear process has been developed over the years to provide consistent, predictable, repeatable and successful project outcomes.
From the first contact to the final punch list item, we have a process that keeps the project moving forward and ensures your satisfaction. Our “Synapse Project Success Plan” is outlined below. This plan is meant for our construction projects but in many of our projects the right place to start is with Design. You can learn about our 3D design process by clicking here.
Step 1. – Clear Scope of Work
Once we have identified a clear scope of work in our proposal and have your acceptance we formalize our agreement with a short and simple contract. Contracts are important documents that help set expectations and clarify the obligations for both parties, which is great, and helps things run smoothly. Once we have your signed contract and deposit paid we move to step 2.
Step 2. – Entry into Synapse internal project systems.
We have 3 main internal systems we use for current projects. They are: 1. Accounting – to ensure proper invoicing and financial documentation. 2. Project portal- exclusive to Synapse, your portal is a place where you can see all the documents, updates, quality control, meeting notes, etc, all in one place. 3. Scheduling – With your project now scheduled we can move on to step 3.
Step 3 – Pre-Construction Meeting
Before we start your project one of our Field Production Managers will schedule a meeting with you to perform a pre-construction meeting. This meeting is meant to further align expectations and review some information that doesn’t necessarily fit within the “scope of work”. We want to make your project smooth, easy and comfortable, and this meeting is designed to provide a good foundation for your project to build from.
Step 4 – Project Start
We are now ready to start your project. We will mobilize our equipment and have materials delivered to your site. A project foreman will be assigned to your project and will be your main point of contact. For longer duration projects your project foreman will establish a weekly meeting rhythm to review project progress, concerns and requests every week. Notes from these meetings will be added to your portal so everyone stays in the loop. This abundance of communication limits the size of our punchlists and reduces the time it takes for project close out.
Step 5 – Project Close Out
We walk the site with you and make sure all items on our punch list have been completed to your satisfaction. Your site is de-mobilized and given it’s final clean. Any warranty or maintenance information is transmitted to you for your information and files. If painting was part of your project we provide a labeled touch up kit for you to keep. We then make an internal note to follow up with you in about 6 months and then again in 1 year to make sure our work is performing as expected and to address any warranty issues that may have come up.
